Position Summary
The Officer, Mid-Level Giving will develop, execute and coordinate the approved fundraising strategies aimed at increasing revenues from new and existing donors that give more than $1,000 and less than $5,000 per year including pledges that have annual gifts in this range.
He/she will also work with and support the Director, Annual Giving in the rollout of effective and sustainable programs to achieve annual Mid-Level targets and other agreed financial and non-financial goals.
The Officer, Mid-Level Giving builds and strengthens relationships with donors who have the capacity and interest to make leadership annual gifts and transition toward major giving. Reporting to the Director, Annual Giving, this role supports the Foundation’s giving club(s): She Shares Giving Circle, and manages a portfolio of mid-level donors through personalized cultivation, solicitation, stewardship, and engagement strategies that inspire increased philanthropic investment in Waterloo Regional Health Network Foundation (WRHNF).
Working collaboratively with colleagues across the Foundation, the Officer, Mid-Level Giving develops meaningful donor relationships that support donor retention, upgrades in giving, and the identification of future major gift prospects. Through personalized outreach and thoughtful stewardship, this role advances donors along the giving pipeline while delivering an exceptional donor experience that connects supporters with the impact of their philanthropy and advances WRHNF's fundraising priorities.
Key ResponsibilitiesOperating Plan for Annual Giving Revenue Acquisition and Renewal
- In collaboration with the Director, Annual Giving, implement and execute approved strategies aimed at increasing revenue from new and existing mid-level donors. These include (but not limited to) Direct Mail, Email, and Telephone, group events, and One-On-One meetings.
- In collaboration with the Director, Annual Giving, analyze appeal results and uses results to make recommendations to increase ROI in future appeals.
- Lead in the execution of special fundraising projects to maximize donor participation and impact.
- Working collaboratively with our creative agency and our Foundation’s communications team to develop (from concept to deployment) materials that are compelling, passionate and on brand as we personalize our approach to:
- Increasing the current gifts
- Reactivating and/or re-engaging donors that have given in the past
- Acquiring new donors/gifts
- Assist in the preparation of donor proposals, solicitation materials, briefing notes, gift agreements, and stewardship reports as required.
- Works with our Foundation communications team to acquire details regarding specific appeal subject matter (e.g. patient or clinic stories). He/she will also collaborate with the patient, clinic and the communication team to ensure appeals developed are accurate and fact checked
- Works with Director, Annual Giving to execute existing donor stewardship programs. In addition, assists in finding innovative methods to further engage the existing portfolio.
- Researches and implements best practice and market trends.
- Provides accurate reports on program performance and uses learnings derived from the reports to make recommendations to improve future appeals
- In conjunction with the Director, Annual Giving creates the annual Operating Plan outlining the mid-level strategy, implementation plan and budgets.
She Shares Giving Circle
- Working with the Director, Annual Giving to support the Executive Committee of the She Shares Giving Circle to develop the annual goals, plan and its implementation.
- Membership Engagement: Support the Executive in the recruitment, onboarding, and retaining members while facilitating regular communication and meetings.
- Grantmaking Coordination: Manage the end-to-end voting or selection process for pooled funds, connecting the group to WRHN leadership to pitch the respective gift packages.
- Event & Facilitation Management: Support the planning and execution of educational sessions, tours, spring and fall membership events, member volunteering, and collective decision-making gatherings.
- Administrative & Data Support: Execute membership renewal and new members programs, track contributions, maintain CRM database records, and measure collective impact.
Mid-Level Donor Portfolio Management
- Manage and grow a portfolio of mid-level donors through strategic cultivation, solicitation, stewardship, and relationship management.
- Develop and implement tailored engagement plans that align donor interests with WRHN Foundation funding priorities.
- Build and maintain meaningful relationships through personalized outreach, including meetings, phone calls, emails, handwritten notes, virtual meetings, and Foundation events.
- Actively engage key donor segments including giving circle, first-time, memorial, tribute, and annual donors.
- Meet annual fundraising, renewal, retention, upgrade, and activity goals.
- Identify donors with major gift potential and partner with Major Gift colleagues to support successful qualification and transition.
- Develop and actively manage a pipeline of prospective leadership donors by identifying opportunities for deeper engagement and increased philanthropic investment.
Mid-Level Giving Stewardship
- Deliver exceptional stewardship experiences that recognize donor generosity and demonstrate the impact of philanthropic support.
- Prepare personalized stewardship communications, donor impact reports, recognition materials, and correspondence.
- Works collaboratively with the Director, Stewardship and Recognition to ensure seamless and consistent recognition and stewardship. These activities include:
- Ensuring that the donor is recognized by receiving various materials from the Foundation (i.e. follow up program reports, invitation to special events), adapting by audience where appropriate.
- If applicable, recognized on our donor wall.
- Development of cultivation events and/or sessions as necessary to engage and steward Mid-Level donors and prospects. These events include:
- Tour of the hospitals/clinics
- Hospital speaker/ meet and greet event (physician, caregiver, senior management, researcher, etc.)
- Luncheon/networking events with similar donors
- Respond promptly and professionally to donor inquiries while delivering an exceptional level of customer service.
Relationship Management, Data & Reporting
- Maintain accurate and timely donor records, strategies, contact reports, and next steps within Blackbaud Raiser's Edge NXT.
- Track donor interactions, engagement activity, campaign participation, and portfolio performance.
- Analyze donor trends and giving patterns to identify opportunities for increased engagement, donor upgrades, and pipeline advancement.
- Produce portfolio reports and fundraising analyses that support planning, forecasting, and performance measurement.
- Ensure data accuracy, donor confidentiality, and compliance with Foundation policies, fundraising standards, and privacy legislation.
- Use data insights to inform outreach strategies and continuously improve the donor experience.
Collaboration & Internal Engagement
- Work closely with colleagues across Annual Giving, Major Gifts, Fundraising Operations, Engagement, Communications, Campaign Support, Finance and Operations.
- Participate in integrated fundraising planning and contribute ideas that strengthen donor engagement, stewardship, and pipeline development.
- Support Foundation events, donor recognition activities, and occasional evening and weekend commitments.
- Stay current on hospital priorities, fundraising trends, donor engagement strategies, and philanthropic best practices.
- Contribute to broader fundraising initiatives and development activities as required.
Education & Experience
- Post-secondary education in fundraising, business, communications, marketing, public relations, or a related discipline. An equivalent combination of education and experience will be considered.
- Minimum 3–5 years of progressive fundraising, business development, sales, account management, or relationship management experience.
- Demonstrated success managing a portfolio of donors, clients, or strategic relationships.
- Experience cultivating, soliciting, and stewarding donors with measurable success in donor retention and upgrades.
- Experience using CRM systems such as Blackbaud Raiser's Edge NXT, or similar.
- Experience in a healthcare, hospital, or nonprofit environment is considered an asset.
- Experience securing five-figure gifts and pledges over a number of years is considered an asset.
