Position Overview
The Senior Project Coordinator supports site execution by driving day-to-day project coordination, tracking, and reporting across mining civil construction scopes. This role works closely with Project Managers, Superintendents, client representatives, and contractor teams to keep field execution organized, constraints removed, and deliverables moving.
Unlike a traditional corporate coordinator role, this position is heavily site-focused and execution-driven, requiring tight interaction across project controls, engineering, procurement, logistics, and field operations. Depending on the project structure, assignments may include both owner's team support and contractor-facing delivery support.
Typical Scopes Supported
The successful candidate will coordinate and support projects across multiple civil and earthworks areas:
- Tailings Infrastructure: Starter dams, raises, embankments, liner interface coordination, and associated water management works.
- Haul Roads & Access Roads: Clearing/grubbing, earthworks, drainage, aggregate placement, surfacing, and winter roads (where applicable).
- Water Management: Diversions, ditches, culverts, sediment ponds, dewatering coordination, and pumping systems (civil interface).
- Bulk Earthworks: Mass excavation, open-pit development, fill placement, compaction control, pads, laydown areas, and plant/site grading.
- Rock Excavation & Drill-and-Blast Interface: Coordination-level integration with the overall earthworks plan.
- Civil Infrastructure: Foundations prep, concrete interface coordination, and minor structures/temporary works as required.
Key Responsibilities
- Support site execution for mining civil/earthworks scopes by coordinating deliverables, priorities, and short-interval planning.
- Maintain and update look-ahead plans, work packages, constraint logs, and action registers; drive closure with accountable owners.
- Track quantities, production progress, and key milestones; contribute to daily/weekly reporting and client updates.
- Coordinate RFIs, field instructions, technical queries, and document control to ensure field teams have current information.
- Support change management by identifying potential changes, maintaining logs, compiling backup, and assisting with schedule/cost impact inputs.
- Coordinate procurement and logistics activities (materials, equipment, rentals, freight) to maintain field readiness.
- Assist with schedule updates (P6/MS Project inputs), progress measurement, and forecasting under the direction of the PM/Project Controls.
- Support meeting cadence (daily huddles, weekly coordination, subcontractor meetings): agendas, minutes, actions, and follow-up.
- Interface with contractors/subcontractors to align work fronts and ensure requirements are understood (quality, HSE, environmental, sequencing).
- Reinforce site safety and environmental compliance expectations through planning, documentation, and proactive coordination.
- Support turnover/closeout activities including as-builts, completion tracking, and handover documentation (scope-dependent).
What We're Looking For
Preference will be given to candidates who can demonstrate extensive experience working on the General Contractor side of heavy civil earthworks or mining construction projects. MineSpec was built around experienced construction professionals from Tier 1 General Contractors, and we place significant value on candidates who bring practical field execution expertise.
- Experience: Typically 3-7 years of overall construction experience with progressive responsibility in project coordination, field/project controls support (mining or heavy civil preferred).
- Sector Exposure: Demonstrated exposure to civil construction scopes in active operations or major capital projects.
- Project Controls: Strong working knowledge of project controls fundamentals: quantity tracking, progress measurement, change management, reporting, schedule inputs, and forecasting support.
- Contract Administration: Working knowledge of contract administration support: RFIs, field instructions, change logs, back-up documentation, and correspondence tracking.
- Software Proficiency: High proficiency with Excel, alongside exposure to scheduling software (Primavera P6 and/or MS Project) and document control systems.
- Digital Tools (Asset): Prior exposure to AI-assisted no-code/low-code platforms used to build internal tools and automations (e.g., Lovable, Retool, Bubble, Airtable, Zapier/Make).
- Soft Skills: Strong communication, follow-through, and stakeholder coordination skills in fast-paced field environments.
- Safety & Compliance: Safety-minded with an understanding of environmental compliance expectations on civil construction sites.
- Travel & Eligibility: Full eligibility to work in Canada is required; eligibility/willingness to travel for work in the USA is an asset.
Education & Experience
The following educational and experience backgrounds will be considered:
- Engineering / Tech: Post-secondary education in engineering (mining/civil), construction management, or a related technical discipline.
- Experience-Based Paths: Trade-based leadership backgrounds or progressive field-acquired technical experience gained through successful project delivery.
