Position Overview

The Operations Manager will be responsible for overseeing the daily administrative, operational, and managerial activities of Senoria’s Edmonton location.

The successful candidate will ensure that client services are coordinated effectively, employees and independent contractors are supported, operational standards are maintained, and the Edmonton location continues to grow.

This role requires a hands-on leader who is equally comfortable managing office responsibilities, resolving client concerns, coordinating staff, building referral partnerships, and reporting operational progress to senior management.

Senoria is supported by established external professional service providers, including Peninsula Canada for human resources and workplace solutions, HUB International for insurance protection, ADP for payroll administration, and an accounting firm for bookkeeping, GST, payroll support, and WCB-related administration.

The Operations Manager will coordinate with these providers as needed while remaining accountable for the effective operation of the Edmonton branch.

Key Responsibilities

Daily Operations

  • Oversee the day-to-day operations of the Edmonton location
  • Ensure client services are delivered efficiently, professionally, and according to company standards
  • Coordinate client schedules, caregiver availability, service updates, and operational priorities
  • Respond promptly to client, family, employee, and contractor concerns
  • Maintain accurate operational records, reports, and internal documentation
  • Identify operational challenges and implement practical solutions
  • Ensure continuity of operations when the founders are unavailable or focused on regional expansion

Client Service and Quality Assurance

  • Support new client intake and onboarding
  • Follow up with clients and families regarding service quality and satisfaction
  • Address concerns, complaints, and service-related issues professionally
  • Monitor service standards and recommend improvements
  • Help maintain strong client retention and long-term relationships
  • Ensure that seniors and their families receive respectful, compassionate, and dependable support

Staff and Contractor Coordination

  • Supervise and support care staff, Senior Care Advisors, administrative personnel, and independent contractors
  • Coordinate scheduling, onboarding, training, and operational communication
  • Work with Peninsula Canada on human resources, workplace policies, employee relations, and compliance matters
  • Support performance discussions and provide feedback to staff
  • Assist with recruitment and candidate interviews when required
  • Promote a positive, accountable, and professional workplace culture

Community Outreach and Business Development

  • Build relationships with seniors’ residences, retirement communities, community organizations, healthcare providers, social workers, clinics, hospitals, faith organizations, and referral partners
  • Represent Senoria at community events, networking meetings, and partnership discussions
  • Support client acquisition and referral development
  • Identify local opportunities for business growth
  • Work with Senior Care Advisors and community outreach representatives to strengthen Senoria’s presence in Edmonton

Administration and Financial Coordination

  • Review operational expenses and maintain appropriate spending controls
  • Coordinate with ADP regarding payroll-related matters
  • Work with the company’s accounting firm regarding bookkeeping, GST, payroll records, WCB, and financial documentation
  • Maintain invoices, receipts, contracts, service records, and administrative files
  • Prepare regular operational reports for the founders
  • Monitor branch performance, service volume, client growth, staffing needs, and operational costs

Compliance and Risk Management

  • Ensure company policies, procedures, and service standards are followed
  • Coordinate with HUB International regarding insurance-related requirements, incidents, and documentation
  • Support occupational health and safety compliance
  • Maintain confidentiality of client, employee, and company information
  • Ensure incidents, complaints, and operational concerns are documented and reported appropriately
  • Assist with licensing, inspections, audits, and regulatory requirements as needed

Qualifications

  • Diploma or degree in business administration, healthcare administration, management, social services, nursing, or a related field
  • Previous experience in operations management, home care, healthcare, senior living, community services, or a related environment
  • Experience supervising employees, contractors, or multidisciplinary teams
  • Strong administrative, organizational, and problem-solving skills
  • Excellent verbal and written communication skills
  • Ability to work independently and make responsible operational decisions
  • Strong client-service mindset with compassion for seniors and families
  • Ability to manage confidential and sensitive information professionally
  • Proficiency with email, Microsoft Office, scheduling systems, payroll platforms, and general business software
  • Valid driver’s licence and access to reliable transportation
  • Ability to travel locally within Edmonton for meetings, client visits, and community outreach

Preferred Qualifications

  • Experience in home care, senior living, healthcare, retirement residences, or community-based care
  • Knowledge of Alberta employment standards, WCB, occupational health and safety, and healthcare-related compliance
  • Experience with client intake, scheduling, caregiver coordination, or service delivery
  • Experience building referral relationships and community partnerships
  • Familiarity with ADP, HR platforms, CRM systems, or scheduling software
  • Previous experience managing a branch, clinic, home care office, or service-based organization
