We are seeking a highly organized and proactive Office Administrator to support daily office operations while providing administrative, customer service, and sales support. The successful candidate will manage business documentation, process customer orders, prepare quotations, coordinate with internal departments, and maintain strong relationships with clients and suppliers. Job description:

  • Manage daily office operations, including correspondence, calendars, company inboxes, records, and filing systems.
  • Provide administrative and operational support to leadership, including task coordination, meeting preparation, minutes, and follow-up actions.
  • Prepare quotations, follow up on opportunities, and support business development to maximize sales.
  • Prepare purchase orders, certificates, submittals, agreements, and other business documentation.
  • Serve as the primary point of contact for clients, suppliers, and business partners, delivering exceptional customer service.
  • Build and maintain long-term relationships with B2B customers through regular follow-up and account management.
  • Process customer orders within the ERP system and coordinate with estimating, production, logistics, and accounting to ensure accurate and timely order fulfillment.
  • Provide technical support to customers regarding insulated glass units, tempered glass, laminated glass, windows, doors, and glass fabrication products.
  • Generate new business opportunities through prospecting, networking, referrals, and lead follow-up.
  • Support ERP implementation and continuous process improvements to enhance operational efficiency.

Requirements

  • Excellent organizational and time management skills.
  • Strong communication and customer service abilities.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience with ERP systems is considered an asset.
