Clerical Assistant, Postgraduate Medical Education
Primary Purpose: To provide administrative support to the Coordinator, Admissions & Resident Administration in the Postgraduate Medical Education Office in the College of Medicine, and to independently handle the day-to-day admissions and resident administration requirements of the Postgraduate Medical Education Office.
Nature of Work: Reporting to the Manager, Postgraduate Medical Education (PGME) this position is responsible for providing high level support to the admissions and resident administration portfolio within the PGME office. Working closely with the Coordinator, Admissions & Resident Administration is essential in planning and organizing workflow and ensuring that critical deadlines are met throughout the year. The position requires the ability to work under pressure in a high-volume environment. The work includes a broad range of duties and processes that involve multiple conflicting priorities, peak periods, numerous fixed deadlines, interruptions, and situations that require an ability to work independently, as well as part of a team. The position exercises discretionary decision making and makes decisions according to established policies and defined best practices. Tasks involve highly sensitive and confidential matters.
The position establishes and maintains professional working relationships with a diverse group including PGME staff, medical residents, program directors, program administrators, College of Medicine faculty and staff, the University community, and external stakeholders including the Saskatchewan Ministry of Health and provincial and federal medical regulatory organizations.
Typical Duties:
Education: Completion of Grade 12 and a recognized one-year post-secondary business/administrative program. An equivalent combination of education and experience may be considered.
Experience: Three to five years of related experience, preferably in a university or academic healthcare setting. Demonstrated proficient working knowledge of the University of Saskatchewan Banner Student and AboutUs electronic systems, Recruit, One45, Access database, Microsoft office (Word and Excel) is an asset. Demonstrated proficiency in interpreting and applying administrative policies, guidelines and processes, internal and external communication skills, and time management.
