We're looking for a friendly, organized and detail-oriented Clinic Administrative Assistant to join our team and help deliver an exceptional patient experience.

The Opportunity

As our Clinic Administrative Assistant, you'll be an important part of our patients' healthcare journey. From welcoming patients and coordinating appointments to supporting our practitioners and maintaining accurate records, you'll help ensure our clinic runs smoothly and patients feel supported every step of the way.

This is an excellent opportunity for someone who enjoys a combination of patient interaction, administrative responsibilities and working within a collaborative healthcare team.

What You'll Do

• Patient Experience & Scheduling: Welcome patients, coordinate appointments, manage cancellations and follow-ups, and provide exceptional customer service.
• Clinic Administration: Maintain accurate patient records, process documentation and lab results, and ensure patient confidentiality.
• Patient Follow-Up & Retention: Support appointment reminders, waitlists, rebooking and continuity of patient care.
• Reporting & Coordination: Assist with tracking patient inquiries, appointment trends, cancellations and patient feedback.
• Billing & Payments: Process patient payments, assist with billing and maintain accurate financial records.
• Practitioner Support: Coordinate custom vitamin and natural health product orders and communicate with clinicians and patients.

What We're Looking For

• Previous experience in healthcare administration, medical reception or a customer-facing administrative role is an asset.
• Excellent communication and interpersonal skills, with a warm and professional approach.
• Strong organizational skills, attention to detail and the ability to manage competing priorities.
• Confidence using computers, scheduling systems and digital tools.
• Experience with billing, payment processing or healthcare documentation is an asset.
• An understanding of patient confidentiality and privacy requirements.
• A positive, adaptable and team-oriented attitude.
• Post-secondary education is considered an asset.
